How to Use a WhatsApp CRM

You use a WhatsApp CRM by logging into a workspace, working an assigned queue, writing notes on the contact, and sending session replies or approved templates. Start of day
Open unassigned and assigned-to-me views. Take ownership before you type. If two agents reply in parallel you will double-book viewings or contradict a price.
During the chat
Keep customer-facing text in WhatsApp and internal context in notes. Tags (VIP, complaint, new lead) only help if the team agrees what they mean. The bot’s collected fields should already be on the contact.
When the person goes quiet
If the customer-care window is open, a normal reply is enough. If it has closed, pick a template that matches the last intent (reminder, not a random promo). Marketing templates still need opt-in.
When you already have a CRM
HubSpot and Zoho are live Wapikon integrations. Use them for pipeline stages if that is already how the company forecasts. WhatsApp remains the conversation; do not invent a second pipeline in both tools without a rule for which one wins.
