Reception’s personal WhatsApp is the unofficial booking line. No-shows rise when reminders are manual. Clinical questions get answered by whoever picked up the phone.

How WhatsApp is used

Utility templates fit appointment reminders patients can reply to. Session chat handles rescheduling. Marketing templates are only for opted-in wellness promotions, not cold lists of patients.

Flow Builder can collect reason-for-visit at a high level, then hand off. The shared inbox lets nurses or coordinators and front desk see one thread. The AI agent may answer published clinic FAQs (hours, location, prep) from knowledge you control — then a human must take clinical judgement.

Lead capture

Website buttons, Click-to-WhatsApp ads, and forms (including Tally) can start a chat. That is lead capture for new patients, not a claim that Wapikon is your EMR intake module.

Lead qualification

Ask location, preferred time, and new vs existing patient in a flow. Do not triage symptoms with a bot as if it were a clinician.

Automated follow-up

Configure reminder sequences before the visit using approved templates. After-hours, a flow can collect the request and set expectations until the desk opens.

Customer support

Billing questions and “how do I prepare?” can sit in the inbox with assignment. Clinical advice stays with licensed staff. Internal notes are not visible to the patient.

Broadcasts and campaigns

Opted-in lists might receive a flu-clinic hours template. Do not broadcast clinical results. Category (utility vs marketing) is Meta’s decision on the template.

CRM and team inbox

Several coordinators, one official number. HubSpot or Zoho if you already track patients there; Wapikon is not a replacement chart.

AI chatbot use cases

Knowledge-based FAQs only. Force human takeover for symptoms, medication, results, and emergencies. The model can be wrong; this page does not claim clinical safety certification.
